Terms of Service

These terms (the “Terms”) govern your use of PostBridge AI (“PostBridge”, “we”, “our”) — the API, web app, ChatGPT integration, Clio integration, and any other surface we operate. By installing or using PostBridge you agree to these Terms. If you don’t agree, don’t use the service.

What PostBridge does

PostBridge accepts an address and a document, prints it, puts it in an envelope, and posts it via the recipient’s national postal service through licensed print partners. Postal charges are quoted before each send. Business workspaces may also require a separate workspace subscription for access to shared product features.

You can use PostBridge through several entry points:

• Direct API — with a pb_live_ API key.
• ChatGPT — via the PostBridge Custom GPT.
• Clio Manage — via the official PostBridge Clio integration (UK Royal Mail).
• MCP / agent frameworks — via the published MCP endpoint.

Who can use it

• You must be at least 18 years old.
• If you’re acting on behalf of an organisation, you confirm you have authority to bind that organisation to these Terms.
• You may not use PostBridge to send anything that would be illegal to post under UK, US, EU, or destination-country mail regulations — including but not limited to threatening communications, fraudulent solicitations, regulated substances, or material restricted by the Universal Postal Union.

Pricing and payment

Prices are published at postbridge.ai/pricing. The price you see at the quote step is the price you pay — we do not add fees post-quote. Stripe processes card and bank payments; other rails (USDC via Circle, Bitcoin Lightning via BTCPay, x402 facilitator) are available for API customers. PostBridge does not store full card details; Stripe handles that.

A PostBridge Business subscription is attached to one business workspace and is offered on a monthly or annual billing interval. The subscription renews automatically through Stripe until the workspace owner or billing administrator schedules cancellation. The subscription price, billing interval, included seats, additional-seat charges, discounts, and tax are shown before Checkout confirmation. Subscription charges are separate from the quoted printing, postage, and delivery charges for each physical letter.

An eligible workspace’s first subscription may begin with a 14-day no-card trial. If no payment method is added before that trial ends, Stripe pauses the subscription and PostBridge pauses paid workspace actions; no subscription charge is made. A user can schedule cancellation through the Stripe Customer Portal. Access continues until the end of the period already paid for, and cancellation does not automatically refund a completed billing period except where law requires otherwise.

A PostBridge wallet balance is prepaid service credit used for postal orders and supported API or agent activity. It is not a bank account, deposit account, or custodial cryptocurrency product. Automatic wallet reloads occur only when an authorised user explicitly enables and configures that feature.

For Clio installs: Stripe Checkout is opened at send time. The matter, recipient, and letter details are persisted as part of the order so the receipt is auditable.

VAT is included for UK destinations. For non-UK destinations, see the receipt for tax treatment.

What happens after you confirm a send

1. PostBridge takes payment via Stripe (or the rail you selected).
2. Once payment confirms, we submit the print job to the print partner that handles the destination country.
3. The print partner produces the physical letter and hands it to the destination’s national postal service (Royal Mail for UK, USPS for US, La Poste for France, Deutsche Post for Germany, Canada Post for Canada).
4. You receive a tracking number where the service supports it (e.g. Royal Mail Signed For / Special Delivery, USPS Certified, Canada Post Registered, La Poste Recommandée).

Delivery timelines and tracking depth depend on the service you selected. Royal Mail 1st Class and 2nd Class are untracked by design — that’s a Royal Mail product limitation, not a PostBridge one. Pick Signed For or Special Delivery if you need tracking.

Refunds

• Before print: If you cancel within 30 minutes of payment AND the letter has not yet been picked up by the print partner, we issue a full refund automatically.
• After print, before dispatch: Best-effort partial refund minus the print partner’s sunk cost. Email support@agents.postbridge.ai.
• After dispatch: No refund on postage. If a tracked letter (Signed For, Special Delivery, etc.) is lost or damaged in transit, we’ll help you raise a claim with the carrier and credit our handling fee.
• Delivery aim misses: “Aim” services (e.g. Royal Mail 1st Class) are not guaranteed by the carrier; we follow the carrier’s SLA verbatim. “Guaranteed” services (Special Delivery) carry the carrier’s own guarantee — if the carrier refunds the postage to us under their guarantee, we pass that refund to you.

Your responsibilities

• You are responsible for the accuracy of the addresses and content you submit. We do not edit your letters.
• You are responsible for ensuring you have the right to send the content to the recipient.
• If you connect PostBridge to a third-party platform (e.g. Clio, ChatGPT), you are responsible for keeping that platform’s credentials confidential. Revoke access in that platform’s settings to immediately disable the integration.

Our responsibilities

• We will produce and post the letter as described in your quote.
• We will pass on the carrier’s tracking and delivery confirmation where supported.
• We will follow the privacy and security commitments in our privacy policy.
• We will give you reasonable notice (email + on-site banner) for material changes to these Terms.

What we won’t do

• We won’t modify, annotate, watermark, reorder, or alter your uploaded document. The document we hand to the postal service is byte-identical to what you uploaded.
• We won’t use your letter content to train machine-learning models.
• We won’t sell or share your data with third parties beyond the print partner and payment processor strictly required to fulfil the order.
• We won’t treat wallet service credit as a bank deposit or use it for lending, investment, or cryptocurrency custody.

Carrier-page invitation block

On PostBridge-owned carrier and address pages — the page PostBridge produces that displays your recipient’s address through the window envelope — we may render a discrete branded invitation block containing a scannable QR code below the fold. The block sits only on the carrier page PostBridge produces. It never appears inside your uploaded document, which remains byte-identical from upload through dispatch; the “What we won’t do” section above applies in full.

How sender attribution works. A recipient who scans the QR is sent to a PostBridge landing page where they can learn about the service and, optionally, install or sign up. If a recipient signs up and activates their own PostBridge account from your invitation, you (the originating sender) may receive a loyalty credit on your PostBridge balance. Credit attribution is automatic and visible in your workspace rewards view; no action is required from you to enable it. Use of the invitation block is part of using PostBridge to send mail — by sending eligible mail you authorise PostBridge to render the block on the carrier page and to credit qualified attributions back to your workspace.

What the QR encodes. The invitation token in the QR is opaque. It does not contain — and cannot be reverse-engineered to reveal — your identity, your workspace, the mail-job ID, the postal service tier, the print partner, the recipient’s identity, or any portion of your document content. PostBridge attributes the credit back to your workspace on our side from the opaque token; no third party who scans or visually inspects the QR can derive any of the above from it.

Suppression for legal mail. The invitation block is automatically suppressed for certified, registered, PEC, raccomandata, signed-for, special-delivery, lettre recommandée, einschreiben, einschreiben einwurf, and other legal-service or digital-post products. Mail that carries legal significance never bears third-party branding from us.

Workspace-level emergency suppression. A workspace-level suppression flag exists as an internal compliance-emergency control (for example, where a regulator requires temporary suspension of branded inserts on a specific workspace). It is not exposed as a user-facing opt-out toggle in PostBridge’s SaaS or mobile apps in this release. Contact support@agents.postbridge.ai with a documented compliance need if you require this flag set on your workspace.

Service availability

PostBridge runs on Fly.io with redundancy across regions. We target 99.5% monthly uptime on the API surface. Planned maintenance is announced in advance where possible. Material outages are disclosed via email to active users and via the status surface when published.

We are not liable for delivery delays caused by the carrier (postal strikes, weather events, carrier system outages). Where the carrier offers a refund under their own SLA, we pass it on.

Suspension and termination

We may suspend or terminate your access to PostBridge if:

• You breach these Terms or send content that violates postal regulations.
• Payment fails repeatedly or chargebacks accumulate.
• We’re required to by a regulator or law-enforcement order.

You can stop using PostBridge at any time. You can also delete your account through mobile or web Settings, or use the public account deletion request page if you cannot sign in. For Clio installs, uninstalling the app from your Clio account immediately revokes our access. Outstanding orders that have already been printed continue to dispatch. Encrypted credentials are retained 180 days after termination then purged; order records are retained where required for tax, delivery, dispute, and legal-claim obligations.

Limitation of liability

To the maximum extent allowed by law:

• PostBridge’s total liability for any claim arising under these Terms is capped at the greater of (a) the fees you paid PostBridge in the 12 months prior to the event giving rise to the claim, or (b) £100.
• We are not liable for indirect, consequential, or punitive damages, including lost profits, lost business opportunities, or loss of goodwill.
• Nothing in these Terms excludes liability for death or personal injury caused by negligence, fraud, or any liability that cannot be excluded by UK law.

Intellectual property

You retain all rights to the content you send. PostBridge retains all rights to the software, API, brand, and documentation. Nothing in these Terms transfers ownership of either party’s intellectual property to the other.

Governing law

These Terms are governed by the laws of England and Wales. The courts of England and Wales have exclusive jurisdiction over any dispute arising from or in connection with these Terms.

Changes

If we materially change these Terms we’ll update the “Last updated” date and, for active users, email a summary of the changes. Using the service after an update constitutes acceptance.
